Verification Pass Info

To enjoy seamless access to our programs, rentals, and memberships, a valid verification pass is required for all registrations. This pass is valid for two years from the date of issuance.

Residents/non-residents can obtain a verification pass by providing a current utility bill, valid government-issued ID, or other proof of residency.

Those who work in the city but do not live here must provide a pay stub from the previous 30 days that includes the employee’s full name and current address.

If you’ve already purchased an outdoor pool membership or registered for summer camp this season, a verification pass will be issued to you. You will receive an email with the details.

Existing RecTrac users/households may upload documents via their WebTrac account OR provide it in person at the Hilliard Community Center, 3800 Veteran’s Memorial Drive.

Uploading Documents
  • Save your residency verification document as First & Last Name_Residency_2025 (Example: Taylor Smith_Residency_2025) before uploading it to your Webtrac account.
  • Login to your WebTrac account.
  • Click on your Family Account Name in top right corner of the page.
  • Under My Accounts, click Documents.
  • On the Upload Option dropdown, select Link to Household.
  • Under Enter a Description for this File, type your First & Last Name_Residency_2025 (Example: Taylor Smith_Residency_2025).
  • Under Document Category, select Residency Verification Document.
  • Upload your document by clicking on the small file image.
  • Click Upload.

For new users without a RecTrac household, verification occurs after our staff activates your household. The verification pass is issued after residency is verified. You will receive an email notification.

Verification passes expire after two years. You will receive an email notice to update your residency verification ahead of time. Be sure to opt in to our communications so you don’t miss this important update!
